






GVU EVENTS
NOTES FOR RESEARCH REVIEW DAY 2003
1. Check with IAP Advisory Board before setting date. Be sure to avoid Presidents' Holiday week in February, since that is typically a school holiday in the northeast.
2. On-line Registration worked nicely in 2002. Do it again.
3. John Stasko said in the faculty meeting that he would love to see as many people as possible invited for the full day. He specifically mentioned using it as an opportunity to grab the interest of other companies that aren't affiliates. (from 2002 notes)
4. Send Industrial Affiliates confirmation of their participation in Research Review Day via email.
5. Be sure to have water in the meeting room at all times
6. Make sure that we have alternatives to sodas at meal times – water, tea, fruit drinks

8. How to deal with luggage when people are leaving
9. Pair a student with an Industrial Affiliate to serve as a chaperone. (suggestion for 2002 event)
10. Run the campus shuttle at least an hour past the time we want service to end.
11. Wednesday was a long day for everyone and I think many faculty did not come to dinner because of that. Perhaps we could do something a little more fun than a dinner in the future. Some ideas? A night of bowling. Entertaining speaker at dinner. A dance. Something that could include families.
12. Adhere to the deadlines that are set. They are set for a reason. The late registrations, additions and changes played havoc with hotel room reservations, ordering food, scheduling demos and finalizing the agenda.
13. Staff member in office at all times to cover the phones.
14. WE REALLY NEED TO SET A DATE FOR 2003 RESEARCH REVIEW DAY NOW!!!
15. For 2003, we need to keep in mind that the last three weeks of February might conflict with winter/spring break in the northeast. (See email from Dick Waters)
16. For 2003, we need to check and double check with Mark Guzdial and John Stasko regarding the date as they have been unable to attend RRD for the last two years due to a conference conflict. They were highly peeved this year that it had happened yet once again.
17. We need to send out a note to faculty in March or April about potential dates for Research Review Day 2003 – reference internship issues, we may want to have it in January. Possibly the week of MLK holiday may be a good timeframe.
18. We should talk about shortening the number of days for Research Review Day. Some industry sponsors who are part of the AHRI and GVU have expressed that three days is a bit too much to do and take from their lives and work. Ken Crisler suggested doing both advisory board meetings on the same day. He thought an entire day for AHRI was too much.
19. Some discussion on how we can combine the efforts of AHRI & the GVU so that companies that are part of both do not get confused over receiving two separate invitations. A few companies raised this as an issue.

HOTEL:
Rooms:
Overall very satisfied with quality and services.
Opportunities:
Water Pressure was low
One guest did not get a non smoking room on first night
One guest had problem in getting the GVU rate
When they registered, some did not register under our block, thus were not counted with our group. I had to go over the guest manifest with Hotel manger and identify our guests
No shuttle to and from Airport to Hotel vice-versa
We should look into hiring a shuttle to and from hotel – airport
Reception & Dinner
Good environment made the event less stuffy which made the food more acceptable, made dinner less of a big deal
Good faculty Representation
One guest did not like the food
One guest found an earring in their salad
Opportunities:
Food was okay, perhaps an informal dinner—a theme banquet—"something funky"
No Music
Portions small
Glass wall separating the rooms, diners were looking in at us
Not good that staff all sat at one table
Research Review Day
Everyone including guests were of the general consensus that the day was a success
Opportunities:
Map of CCB & CRB of where demos are
Number the demos on the "demo lists" and also on the posters hanging by the demos so that guests know what demo is where
For 2003, a joi8nt opening and RRD my be appropriate since GVU will be moving into a new building
Registration: Online registration was a good thing but it had some problems

Have it password protected
We need to have active follow-up via email telling us:
Who will be there on what dates and what times
When flights arrive
We need to be more explicit about review board invitations, who’s coming & when affects how the meeting
Set a date: spring perhaps April
Check schools’ Spring break schedules
Check when conferences are being held
Food:
Do not order berakfast from affairs
Look into alternatives for Marriots, we would like not to use them in the future
Agenda
Director needs to have shorter talk, fewer words, more pictures
Five minutes went very well
Larry’s talk was exceptionally good and well received
Opportunities:
Need to be more consistent on start times of events, there were some discrepancies
3rd floor CRB-Thad’s students did not get much traffic
Suggested we have escorts to take to these areas (may be a mute point as we are moving next year)
Invite an outside guest who is related to GVU to speak, i.e. Bill Chapman turner studios, or Electronic Art
Not enough time to see demos, perhaps 2-6 instead of the 2-5:30
Reception:
Good student turn out
Needed more food
Perhaps we should bill it differently than we did. Not a networking event but a reward for students.
Some students were dismayed at the number of industry attendee

Escorts did not stay with guests; many guests were wondering around and were on the elevator unescorted
Recruit a senior student to coordinate and work with me as to the needs of the days

Opportunities:

West Coast will not like
Early morning may not been good because most of the discussion is triggered by the days interactions

1. Less food at GVU Reception.
